One form, filled in
Privacy Policy
Last updated 5 November 2026
What we hold when you contact us or work with us, why, who else sees it and how to use your rights — one form, every field filled in. Anything unclear, ask.
Who is responsible for my data?
Scopevyn Intake Maps Ltd — "Scopevyn", "we" — is the controller for the personal data handled through this website and through our projects. Registered in England and Wales, company number 17264990, registered office 7 High Street, Kington, Herefordshire, HR5 3AX.
Anything in this policy can be raised by writing to us by email to director@scopevynintakemapsltd.com, or by post to our registered office, Scopevyn Intake Maps Ltd, 7 High Street, Kington, Herefordshire, HR5 3AX.
What does this website gather?
Almost nothing. While the enquiry channel is being connected there is no enquiry form on this website, and no accounts, newsletter or uploads either — the pages gather nothing from you.
The single exception sits with the host: as with any website, our hosting provider logs the technical detail of each visit (IP address, date and time, page requested, browser used) so the site can be served and kept secure.
What do you hold once I write?
What you send, to begin with: a name, a business, a way to reach you, and your description of how projects begin for you. An agreed project adds the correspondence around it, the written quotation, the materials you supply and the records needed to invoice the work.
Materials you hand over can carry personal data — the names or work contacts of your staff, for instance. We use such content only to prepare your intake structures, and where we handle personal data for you in that way, the quotation sets the terms for it.
The Examples page is inert: its structures are markup, not working forms, and nothing typed or ticked anywhere on this site is transmitted or stored.
Why do you use it, and on what grounds?
Five purposes, no more: to answer your enquiry and prepare your quotation; to carry out the project you agree and deliver its materials; to invoice the work and keep accounts; to keep the website running and secure; to deal with questions, complaints or claims about a project.
The UK GDPR grounds for each:
- Article 6(1)(b) — steps you ask for before a contract (an answer, a quotation) and performance of the contract once it exists;
- Article 6(1)(f) — our legitimate interests: a running, secure website, and a record of correspondence so questions about a project can still be answered later. Only what those purposes need is used;
- Article 6(1)(c) — accounting records the law requires us to keep.
Who else gets to see it?
Ourselves, then the providers the business runs on: the hosting provider, the email provider, a payment provider where a card is paid through its payment page, and our accountant. Each of them handles data only to deliver its service to us. Beyond that, data may be shared where the law requires it, or with professional advisers when a claim needs them. We never sell personal data and never use it for advertising.
Where a quotation offers card payment, the card is typed into the payment provider's own secure page; we never see or store the details.
Some providers may store data outside the United Kingdom. Where they do, the transfer stands on UK adequacy regulations or on a safeguard the UK GDPR allows, such as the International Data Transfer Agreement — ask us and we will say which applies.
How long does it stay with you?
Everything is kept for as long as its purpose requires and then let go. An enquiry that never becomes a project lives while it is answered and followed up, then is deleted. Project correspondence and records live while questions or claims about the project may still need them. Accounting records live for the period company and tax law set. Server logs live for the period our hosting provider's security settings give them.
What can I ask you to do with it?
A copy of your data; correction of it; deletion of it; restriction of how we use it; objection to use based on legitimate interests; a portable copy where the law provides one; withdrawal of consent wherever consent is the basis.
Any of these by writing to us by email to director@scopevynintakemapsltd.com, or by post to our registered office, Scopevyn Intake Maps Ltd, 7 High Street, Kington, Herefordshire, HR5 3AX. The law gives us one month to reply, and we tell you when a complex request needs more. There is normally no charge.
We make no decisions about you by automated means alone, and we do not profile you.
Do I have to give you anything?
No law obliges you. But without a name and a way to reach you we cannot answer an enquiry or write a quotation, and without the project details we cannot do the work — that is the whole of it.
Where do I complain?
Tell us first; we would rather put it right than have you put up with it. You can also complain to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, through its website at ico.org.uk.
How do I hear about changes to this policy?
A new version appears on this page with a new date at the top. A change that touches a project in progress is also told to you directly.
